Conference Call Etiquette


The following is a short list of Etiquette that should be considered when attending a conference call or online meeting.

Meeting Originator

  • Pre-populate meeting notes with relevant information before the meeting.
  • Provide time before the meeting for all attendees to review meeting notes

Example of Meeting Notes:

  • If closed captions is an option, turn it on.
  • Use background blur or custom backgrounds to minimize distractions
  • Mute everyone on the call if background noise is an issue.
  • zoom in when sharing webpages or documents to help attendees focus on desired content. (Ctrl + )
  • Use chat to help share resources and information during meetings without causing distraction.
  • Larger meetings should have meeting moderator's.
  • Moderator's should moderate as needed.
  • Consider Question/Answer times for the end of the meeting.
  • Follow proper guidelines for privacy and security. (Think COPPA, FERPA, HIPPA as needed)
  • Turn off or remove smart speakers.
  • Assume your mic is "hot" at all times during the meeting. Saying something you might regret can be more then embarrassing.
  • Ensure You've turned off Video and Audio on your call once your done.

Attendees Etiquette:

  • Test your connection and/or software well in advance of the meeting
  • Show up on time.
  • Email organizer as soon as possible if you cannot make the meeting for any reason.
  • Mute your side if you are not talking
  • Use background blur or custom backgrounds to minimize distractions
  • No eating during the meeting or call.
  • Be presentable and dress appropriately for the call.
  • add questions or comments to chat area.
  • adhere to the meeting agenda.
  • Follow proper guidelines for privacy and security. (Think COPPA, FERPA, HIPPA as needed)
  • Focus on the meeting.
  • Assume your mic is "hot" at all times during the meeting. Saying something you might regret can be more then embarrassing.
  • Turn off or remove access to smart speakers.
  • Ensure You've turned off Video and Audio on your call once your done.
